We value building long-term relationships based on trust and mutual respect.Vision:Our vision is to be the catalyst for positive change in the lives of individuals and small business owners by providing exceptional accounting, tax planning and financial management services that not only reduce tax liabilities but also help our clients achieve their long-term financial goals and aspirations.The OpportunityWe are seeking an experienced Receptionist to join our team in Sugar Land, TX.Responsibilities:Answering Incoming Calls:Operate a multiline phone system efficiently.Direct incoming calls to appropriate staff members.Take accurate messages and ensure proper follow-up.Client Interaction:Greet clients and visitors in a professional and welcoming manner.Address customer inquiries and requests in a polite and professional manner.Facilitate introductions and hand off clients to relevant personnel as needed.Provide information about the company’s products, services, and policies as required.Resolve customer complaints or escalate issues to the appropriate personnel for resolution.Appointment Scheduling:Manage conference room calendars efficiently.Schedule appointments efficiently, coordinating with staff and clients as necessary.Mailing Services:Sort and distribute incoming mail promptly.Create and affix labels accurately for outgoing mail.Handle certified mail receipts efficiently.Place orders for envelopes and other mailing supplies.Coordinate refunds and manage Certified Mail Return Receipts (CMRR).Document Management:Scan and digitize documents for electronic filing.Maintain organized paper filing systems for easy retrieval.Office Maintenance:Ensure the reception area is clean, tidy, and presentable at all times.Schedule regular maintenance for office equipment and facilities.Coordinate with the IT department for any technical support needs.Monitor and restock office supplies, including paper, shredding materials, general office necessities and snack bar.Qualifications:At least 2 years of proven experience as a receptionist, administrative assistant, or in a similar role.Proficiency in operating multiline phone systems and other office equipment.Excellent communication and interpersonal skills.Strong organizational and multitasking abilities.Attention to detail and accuracy in handling tasks such as mail sorting and appointment scheduling.Familiarity with basic computer applications, including MS Office suite and email systems.Ability to maintain confidentiality and handle sensitive information with discretion.Proactive approach to problem-solving and a willingness to take initiative in a fast-paced environment.Ability to remain calm and composed under pressure, especially during busy periods or when dealing with challenging situations.Professional appearance and demeanor with a commitment to providing exceptional customer service.Benefits:The overall well-being of our team is important to us.
