The Lead Dental Front Desk is responsible for overseeing the daily operations of the dental officexe2x80x99s front desk, ensuring exceptional patient service, and managing administrative tasks. The role involves coordinating patient flow, supervising front desk staff, scheduling appointments, handling patient inquiries, and ensuring that all front office procedures run smoothly. Key Responsibilities: xe2x80xa2Front Desk Management: Oversee front desk operations, including check-in/check-out procedures. Ensure a welcoming, efficient, and organized reception area for patients. Greet and assist patients, addressing inquiries or concerns in a professional manner. Team Supervision: Train, supervise, and evaluate front desk staff (receptionists, scheduling coordinators). Delegate tasks effectively and ensure proper staffing at the front desk. Provide ongoing coaching and support to front desk team members. Patient Scheduling and Records: Manage appointment scheduling, ensuring efficient use of provider time and minimizing gaps in the schedule. Confirm appointments and manage cancellations or reschedules. Ensure accurate patient records are maintained and HIPAA compliance is followed. Billing and Payments: Oversee patient billing processes, including insurance verification and claim submission. Assist patients with understanding treatment costs and insurance coverage. xe2x80xa2 Collect co-pays and ensure accurate financial records are kept. xe2x80xa2 Communication and Coordination: Coordinate with clinical staff to ensure smooth patient flow and timely appointment preparation. Act as a liaison between patients, providers, and office management. Communicate effectively with patients about appointment details, financial responsibilities, and office policies. Administrative Tasks: Manage incoming phone calls and emails, addressing inquiries or directing them appropriately. Monitor and order office supplies as needed. Maintain office cleanliness and organization, particularly in the reception area. Reporting and Office Efficiency: Prepare reports for office performance, patient satisfaction, and financial records. Identify and implement improvements to enhance office efficiency and patient satisfaction. Qualifications: High school diploma or GED required; associate or bachelorxe2x80x99s degree preferred. Minimum of 2-4 years of experience preferably in a dental office, with at least 1 year in a supervisory or leadership role. Strong knowledge of dental office operations, including patient scheduling, billing, and insurance processes. Excellent customer service and communication skills. Proficiency in dental office software (e.g., Dentrix, Eaglesoft, Open Dental) and Microsoft Office Suite. Ability to multitask, prioritize, and work in a fast-paced environment. Understanding of HIPAA regulations and maintaining patient confidentiality.
