Job Title: Front Desk Receptionist Job Summary: This position is responsible day-to-day administrative and general office duties including word processing, filing, faxing, and data entry. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists visitors in the same manner. Job Responsibilities/Tasks: Welcomes patients/visitors of the practice in a hospitable manner, determines the reason of visit and appropriately directs them to the necessary person(s) or department(s). Timely answers telephone calls and communicates in a professional manner to callers. Routes calls appropriately, and offers callers voicemail, paging, and/or redirection as needed. Directs patients/visitors to designated waiting areas. Facilitates patient flow and promptly communicates any delays with appointments, patients, and/or clinical staff. Explains, in detail, any financial requirements to patients/visitors/responsible parties and effectively collects copays as required. Adheres to all practice policies and procedures regarding safety and security and upholds confidentiality of sensitive information such as computer passwords and keyless entry codes. Responsible for maintaining the reception/patient waiting areas and office files in an organized and cleanly manner. Required Skills/Abilities: Strong knowledge of administrative policies, procedures, claims processing, and the preparation of patient charts. Knowledge of medical terminology. Strong verbal and written communication skills. Ability to utilize a multi-line phone system, including transferring calls and paging. Ability to demonstrate a high-degree of tact and diplomacy while multi-tasking and handling a high volume of patients/calls. Ability to type a minimum of 40 WPM Ability to remain calm and excel when under pressure with minimal supervision Ability to think quickly and problem solve when issues arise Ability to competently handle upset patients/disputes over the phone while patiently working with them to resolve their concerns. Skills in practice management software and Microsoft Office software such as Word, Excel, etc. Education: High School Diploma or Equivalent Experience: At least one year of experience in customer service or reception Preferably in a medical office setting
