Key Responsibilities: Switchboard Management: Answer and transfer calls, and take messages as needed. Document Management: Scan, compile, and securely manage patient records in a digital format. Record and Mail Coordination: Ensure accurate record-keeping, prepare and mail outgoing records on schedule. Financial Transactions: Process checks with accuracy and confidentiality. Customer Service: Welcome visitors, maintaining a helpful and friendly environment. Appointment Scheduling: Coordinate appointments, managing the office calendar efficiently. Visitor Assistance: Greet visitors, check IDs, and escort guests as needed. Mail and Package Handling: Sign for, organize, and distribute mail and packages. Additional Duties: Support other office tasks as required. Skills and Qualifications: Strong organizational skills with the ability to manage multiple tasks efficiently. Effective communication and problem-solving abilities, with a knack for de-escalation. Proficient in office software, meeting scheduling, and general administrative tasks. Knowledge of HIPAA regulations and handling confidential information. Excellent verbal and written communication, with strong grammar and legible handwriting. Professional and courteous phone and in-person etiquette. Education and Experience: High school diploma or equivalent required; college degree is a plus. Previous experience in a medical or billing office is preferred. Proficiency with desktop and laptop computers, Windows applications, and Office 365. Physical Requirements: Ability to sit or stand for extended periods, operate a computer, and handle light lifting (up to 15 pounds). Comfortable with prolonged periods at a desk and working on a computer.
